Anti‑Bribery & Corruption Policy

Zero‑tolerance statement

UK Postbox prohibits bribery and corruption in any form, in line with the Bribery Act 2010 (including the corporate offence of failing to prevent bribery). We do not offer, give, solicit or accept bribes or improper advantages.


Prohibited conduct

  • Bribes, kickbacks or improper inducements.
  • Facilitation payments (small unofficial payments to speed routine actions).
  • Improper gifts, hospitality or expenses intended to influence decisions.
  • Political donations on behalf of UK Postbox (none without Board approval).
  • Improper charitable contributions or sponsorships used to influence decisions; corporate hospitality that is disproportionate or lacks a legitimate business purpose.

Gifts, hospitality & expenses

  • Must be modest, infrequent and transparent; never during tenders/contract awards.
  • Thresholds: nominal gifts (≤ £50) may be accepted/ offered without approval; £50–£200 require line manager approval; >£200 require Compliance approval.
  • Record in the Gifts & Hospitality Register. Cash or cash equivalents (e.g., gift cards) are not permitted. Cumulative gifts from or to the same individual/organisation within a 12-month period should be aggregated when assessing thresholds. If offered a gift exceeding £50 that cannot reasonably be declined, declare it to Compliance within 5 working days.

Third parties & conflicts

  • Conduct due diligence on agents, intermediaries, suppliers and partners. Due diligence includes risk assessment based on geography, sector, and relationship type; verification of ownership and reputation; and screening against sanctions and adverse media.
  • Contracts must include anti‑bribery clauses and audit/termination rights.
  • Disclose and manage conflicts of interest.

Reporting & consequences

Report concerns to your manager, the Speak Up form, or compliance@ukpostbox.com. Breaches may lead to disciplinary action (up to dismissal) and referral to law enforcement.


Training & records

Annual training is required for all staff in customer-facing, procurement, finance, compliance, and management roles, and for anyone with delegated spending authority. Keep accurate books, records and registers for 7 years (or longer under legal hold). This Policy forms part of our adequate procedures under Ministry of Justice guidance for preventing bribery. We maintain a bribery and corruption risk assessment, reviewed annually, covering our services, geographies, and third-party relationships.
